5 Ways to Be More Efficient (and Effective) at Work

When it comes to achieving better outcomes at work, two words often come up: efficiency and effectiveness. While they’re sometimes used interchangeably, they mean quite different things, and understanding the distinction is key to improving performance. Put simply, efficiency is about doing things right, while effectiveness is about doing the right things.

1. Start with Repeatable Tasks

Use checklists and templates to reduce rework

So much of our time is spent repeating tasks that could be simplified. We work with clients to build tailored templates, checklists, and repeatable processes that make life easier, reduce errors, and save energy. We seek out tailored solutions in the form of AI and automations that can assist too.

What this looks like in practice:

  • A project dashboard to track progress clearly
  • A template for job ads or interview notes
  • A repeatable structure for comms plans

This means less time starting from scratch and more time for strategic thinking.

2. Use Your Time with Intention

Avoid task-switching and embrace time-blocking

Jumping between emails, meetings, and to-do lists drains focus. We help clients design smarter schedules that prioritise deep work and reduce context-switching.

Try this:

  • Set a timer and commit to one task until it rings
  • Use 25-minute time blocks for focused work
  • Aim for 3 solid time blocks each day for top priorities

Small shifts in how you use your time can lead to big changes in how you feel at the end of the day.

3. Make Meetings Work for You

Shorter. Sharper. More purposeful.

Meetings are one of the biggest drains on time and energy when they lack focus. We suggest teams think about where they can cut out what’s not needed and keep the agenda succinct.

Ask yourself:

  • Can this meeting be shorter?
  • Can fewer people attend?
  • Can we focus on one agenda item only?

Streamlined meetings give everyone more space to do actual work and reduce the dreaded calendar overload.

4. Tame Your Inbox

Set a word limit on your emails and filter out the junk

Over-explaining, over-writing, and long email chains waste time. We support individuals and teams to communicate more clearly and concisely by setting practical boundaries.

Challenge yourself:

  • Keep messages to under 300 words, Try 200 words if you want an extra stretch
  • Use bullet points and bolding for clarity
  • Unsubscribe from emails and set up rules to move newsletters and emails for reading out of the inbox to ensure the important priority messages are in sight first

It’s not about being blunt, it’s about being useful, understood and organised.

5. Grow Through Connection

Ask, ‘Who else?’ to build meaningful networks

The best way to learn, solve problems, or progress is often through the people around you. We encourage clients to use everyday conversations as a springboard for growing their network.

When you meet someone helpful, ask:

  • “Is there anyone else you’d recommend I speak to?”
  • “Do you know someone with experience in [topic]?”

This opens doors, builds momentum, and helps you create a supportive network of insight around you.

Reflection

Pause and consider…

  • What’s taking up more time or energy than it should right now?
  • What would be possible if my day-to-day work felt more effortless?
  • Where could I let tech do the heavy lifting — so I can focus on what matters?
  • What small change could I make this week that would make a big difference?

Answering these honestly is the first step to designing a work-life that truly works for you.
